Notary News & Notes: Setember 2007

Hi! Please make note of the following:

  1. ID And Camera Phones: Recently, one of our agents arrived at a closing only to find the borrower failed to get their drivers license copied and of course, there was no copier at the closing location. The agent ended up taking a picture of the ID with his camera phone, emailing it to himself and printing it out. It came out very well. Most phones nowadays have cameras on them. We thought we’d pass this tip on. By the way, if any of you have tips to help others, please pass it on so we can get the word out.
  2. Electronic Notarization class: We spoke with someone at GTCC ( Guilford County Community College in Greensboro, NC) today about the electronic notary class.  They haven't offered it yet because they didn't think they could fill it.  They need about 25 people and are shooting to offer an October 1st class. Please contact us if you are interested in attending and we will coordinate with the college. We do not know the cost yet.
  3. E-doc delays: When accepting an order, keep in mind that there can be numerous reasons for delays in receiving the loan package:  weather delays for airline and truck delivery carriers; scanners and software issues or Internet connectivity problems, last minute changes to numbers in order to “sell the loan”, etc.   With that in mind, be proactive with your first confirmation call to the borrower and certainly, the day of closing, when advising status of loan packages.  Although you are confirming the appointment time that we received from the lender/title company, ask what the borrower’s availability is in the event of any problem arising.  Assure the borrower that your intention is to stay with the set appointment time, but to also allow for flexibility if there are loan package delays that day of closing.   On closing date, do not tell the borrower how hectic your schedule is and project that your other appointments will negatively impact their loan being signed.  That information should be communicated to SCI such that we can discuss other options. It is not acceptable to tell the borrower that “it’s not going to happen” or ‘we can just do this tomorrow” when there are delayed docs.  SCI often hears of this issue by way of an irate client call, based on their receipt of an irate Loan Officer call.  Caught in the middle is the borrower who stresses out that their loan won’t be closing as expected. If you are not going to be able to keep the closing order, please don’t just notify SCI without knowing what the borrower’s availability is for a different time and/or location.  Customer service should remain the priority!
